The basics

What is debt collection?

Debt collection is the set of steps that lead a debtor to settle an obligation that has fallen due to their creditor.

There is a distinction between out-of-court collection, which runs through contact with the debtor, and court proceedings, which follow only once the out-of-court route has failed to produce payment. CreditCall handles out-of-court collection and, where needed, prepares the documentation for court.

Out-of-court collection

Contact with the debtor, establishing the reason for the delay and agreeing payment or an instalment plan. Faster and substantially cheaper.

vs
Court proceedings

Pursuing the claim through the courts. It follows once out-of-court options are exhausted and brings court fees with it.

One rule holds up in practice: the sooner a receivable is dealt with, the likelier it is to be paid. Collecting in the first weeks after the due date, we achieve a success rate above 97%; as the receivable ages, that figure falls.

Who it is for

Who we provide the service for

We do not cherry-pick problem cases - we take every invoice as soon as it falls due. That is the difference: deal with an invoice in the first few days and payment follows in the vast majority of cases. It makes sense at volumes in the hundreds of invoices. We do not handle debts between private individuals.

Companies with many customers

Firms generating a larger volume of overdue invoices each month. We take on the whole agenda including records, debtor contact and reporting.

Institutions and regulated sectors

Banks, insurers, telecoms operators and energy suppliers. Thousands of customer accounts, where precision of procedure and an audit trail on every step matter.

Long-term mandated management

Permanent handover of the whole agenda, not a one-off campaign. Every invoice is worked as soon as it falls due - we do not wait for it to become a problem case.

Scope of service

The forms of collection we provide

Early collection

Collection in the first stage of arrears, normally in the first days and weeks after the due date. It means early contact with the debtor, establishing why the invoice is unpaid and agreeing a payment date.

Mandated receivables management

Taking your whole portfolio of overdue invoices into management. It covers portfolio analysis, case prioritisation, debtor contact and regular reporting.

Out-of-court collection

Systematic contact by phone, email, SMS and letter. It includes instalment agreements and, in justified cases, a pre-action notice.

Assessing collectability

Before collection starts we check the documentation and assess how collectable the receivable really is. If the odds are poor we say so up front - there is no sense investing in a hopeless case.

Documentation for court

When the out-of-court route does not produce payment, we hand over complete documentation including the record of all contact with the debtor as the basis for the next step.

Audit traila record of every step

Compliance and GDPR

Debtors' personal data is processed in line with GDPR and applicable law. Calls are recorded and the terms are set out in a contract signed before the engagement starts.

The steps

How collection works

The process is standardised and at every stage you know exactly where a receivable stands.

Assessing the receivable

We go through the documentation, verify that the receivable exists and has fallen due, and assess how collectable it is. Free and without commitment.

Handover and contact

Once the contract is signed we contact the debtor by phone, email, SMS and letter. We establish the reason for the delay and look for a route to payment.

Payment or escalation

We agree a payment date or an instalment plan. If the debtor will not engage, we follow the agreed escalation scenario through to a pre-action notice.

The age of the receivable

Collection success is directly tied to how long an invoice has been overdue. In the first weeks we achieve a success rate above 97%; after a few months it falls sharply. That is why we recommend handing receivables over as early as possible.

Documentation

What we need from you

Assessing a receivable normally takes only basic documents. If you are not sure you have enough, we will go through it with you free of charge.

  • a document proving the receivable exists - invoice, contract, order, delivery note or acknowledgement of debt
  • the debtor's identification details - registered name, company number and address
  • the amount outstanding and the due date
  • a summary of contact so far and any part payments
Fee and costs
€13.19mrecovered for clients in 2025

The fee model follows the type of engagement

We set the fee according to scope. For portfolio management we normally work for a standard agreed fee reflecting invoice volume and the range of activities. In justified cases we can tie it to collection success. In line with applicable law, part of the costs of pursuing the receivable is also passed to the debtor.

Assessing a receivable is free. Before any contract we review the documentation, judge collectability and propose an approach. If the odds of payment are poor, we say so up front.

FAQ

Frequent questions about debt collection

Do you handle single invoices or consumer debts?+

No. We are set up for long-term management of a whole portfolio rather than one-off collection of a single invoice. It makes sense from volumes in the hundreds of invoices, where we can put a systematic process in place and deliver a measurable result. We do not handle private debts between individuals.

What documents will you need from us?+

A document proving the receivable exists – an invoice, contract, order, delivery note or acknowledgement of debt. Then the debtor’s identification details and a summary of contact so far. If you are not sure your documentation is sufficient, we will go through it with you free of charge.

How much does collection cost?+

The fee is set according to scope. For portfolio management we normally work for a standard agreed fee reflecting invoice volume and the range of activities; in justified cases we can tie it to collection success. In line with applicable law, part of the costs of pursuing the receivable is passed to the debtor. We propose a specific model once we have reviewed your portfolio.

What is the success rate?+

With early collection – collection in the first stage of arrears – we achieve a success rate above 97%. In later stages the rate falls in direct proportion to the age of the receivable, which is why we recommend handing invoices over as soon after the due date as possible.

How long does collection take?+

With out-of-court collection most cases resolve within weeks. What decides it is the debtor’s willingness to talk and their real ability to pay. You get interim information on every case, so you always know what stage it is at.

What if the debtor will not talk or refuses to pay?+

We follow an agreed escalation scenario – from telephone and written contact through to a pre-action notice. If the out-of-court route does not produce payment, we hand you complete documentation including the record of all contact, which serves as the basis for court proceedings.

Will collection damage our relationship with the customer?+

We handle contact professionally and with the commercial relationship in mind. Most debtors have no intention of not paying – they overlooked the invoice, had it unapproved, or have a short-term cash flow problem. In sensitive cases we agree the approach with you in advance.

Do you comply with legislation and GDPR?+

Yes. Personal data of debtors is processed in line with GDPR and applicable law. All calls are recorded, contact is auditable and the data processing terms are set out in the contract signed before the engagement starts.
