Sound familiar?

An overdue invoice does not age on its own. It ages while nobody has time for it.

Most debtors want to pay. What decides it is who contacts them first, and in what tone. Recognise any of these?

!An overdue invoice gets dealt with only when somebody happens to notice it.
!Reminders go out from the accountant between their other work - or not at all.
!You cannot say how much money is overdue right now, or for how long.
!Salespeople avoid contacting debtors so as not to spoil the relationship.
!You write off part of your receivables because there is no capacity to chase them.
!Cash flow is planned on what should have arrived - not on what did.
How we solve it

Six things that decide whether the money arrives

This is not theory - it is exactly how we work for Allianz and Kooperativa.

We call in the first few days

The chance of payment is highest shortly after the due date. We contact the client while the invoice is still fresh and the relationship untouched - not six months on when it has become a dispute.

Early collectionthe stage where the odds are highest

We find the real reason

Most clients want to pay. The invoice was not approved, never reached them, or there is a short-term cash flow problem. Without the reason there is no solution to find.

Reasonsoften expose a fault in your own billing

Four channels, not just the phone

Phone, email, SMS and letter. Every debtor responds to something different and some you will only reach on one of them - so we combine them by case type.

1.08mcalls a year tell us what works

Portfolio prioritisation

We do not start with the oldest invoice but with the one most likely to be paid. The portfolio is analysed and split by amount, age and type of debtor.

A tone that keeps the business

We recruit agents for empathy - you cannot train it. Contact is handled so you can carry on trading with the client. In sensitive cases we agree the approach with you.

Empathyis a hiring criterion

A fee tied to success

A significant part of our fee depends on whether the money actually arrives. In line with the law, part of the costs also passes to the debtor - you do not carry them alone.

A debtor is not an opponent. They are a customer with a problem.

Call them early with a way out and they usually take it as a service, not an attack.

What stands behind it

Why this works on your project too

Method is one thing. The other is who carries the risk when the money does not come.

Our structural difference

You do not pay for activity, you pay for the result

A significant part of the fee is tied to collection success and, in line with applicable law, part of the costs of pursuing the receivable passes to the debtor. That lets you work large portfolios without inflating internal budgets.

Collection is not our only discipline. We also run customer lines, phone sales and market research - so we know where arrears begin, in billing or in a process, and we can prevent them rather than only chase them.

We don’t start with a year’s contract. We start with a pilot.

To begin we run a pilot with metrics agreed in advance. Afterwards you do not have promises, you have figures from your own project - and you decide on that basis whether and how to continue.

  1. Agree the metricsWhat exactly we measure and what counts as success.
  2. Run the pilotSmaller scope, real customers, full quality measurement.
  3. Review it togetherEither we scale, or we tune the brief. No pressure.

Lower overdue balances - and customers who stayed

Global Payments was seeing a growing volume of overdue invoices. Most were clients who intended to pay, but late payment meant increased financial risk, an administrative burden and pressure on cash flow. The answer had to improve payment discipline without damaging commercial relationships or the brand.

We took over early collection – managing receivables in the first stages of arrears. The aim was not collection in the traditional sense but early contact, establishing the reason and finding a route to payment.

And when there are thousands of invoices

Under mandated receivables management for larger companies we take on the entire portfolio of overdue invoices and work it for you - analysis, prioritisation and instalment plans included. That protects cash flow, and it protects you from knock-on insolvency.

FAQ

What clients ask before handing over receivables

Won’t collection damage our relationship with the customer?+

That is exactly why it is called early collection rather than debt recovery. Most clients want to pay – they overlooked the invoice, did not have it approved, or have a short-term cash flow problem. Contact them early, professionally and with a solution on the table and the customer often takes it as a service. At Global Payments we cut overdue balances that way and kept commercial relationships intact.

What will it cost us?+

A significant part of our fee is tied to collection success – you are not paying for activity but for the result. In line with applicable law, part of the costs of pursuing the receivable also passes to the debtor, so you do not carry them alone.

What is the difference between early collection and debt recovery?+

Early collection happens in the first days and weeks after the due date, while the chance of payment is highest and the relationship is untouched – by phone, email and SMS. Classic recovery only follows when the early stage does not work. The sooner we start, the fewer cases reach the later stages.

Can you handle a large volume of invoices?+

Yes. We handle 1.08 million calls a year and in 2025 we recovered €13.19m for clients. We take the portfolio into management, analyse it and prioritise – starting not with the oldest invoice but with the one most likely to be paid.

How will we know what is happening with the receivables?+

You get regular reporting – the status of each case, agreed payment dates, instalment plans and the reasons for delay. The reasons are the valuable part: they often expose a fault in your billing or in a process on your side that can be removed.

Do you handle receivables against companies we want to keep trading with?+

That is the most common case. Contact is handled so that you can carry on with the client – the goal is not to win a dispute but to get the money and keep the business. In sensitive cases we always agree the approach with you first.
